ADMINISTRATIVE NOTIFICATIONS

When internal exchanges are received by the organization and, if applicable, when actions are performed by a recipient(s) on a ShareLink created in the organization's digital collaboration vault, internal users will receive an email to the confirmed address set in their profile and, if applicable, a sms message will be sent to the system verified phone number.

For internal exchanges, internal users will receive a notification when:
  • A user exchanges a file with the organization (requires the internal user to have the File Editor role and their notifications enabled)
  • A user exchanges a folder with the organization (requires the internal user to have the File Editor role and their notifications enabled)
  • A file is being exchanged to their account group
  • A folder is being exchanged to their account group

For ShareLinks created in the organization's digital collaboration vault, internal users and groups who have access to the organization digital collaboration vault and their notifications enabled, will receive a notification summary of the activity by the recipient(s).  ShareLink activity is tracked within the system and automated notifications are sent via a batch process. If activity occurs on a ShareLink a notification will be sent out detailing the number of uploads and/or downloads done on that ShareLink.

The batch is set to enter the sending queue every five (5) minutes). It could take up to twenty (20) minutes for the notification to send, depending on what is in line in front of the notifications. Our standard delivery time for notifications is between one (1) and twenty (20) minutes. If activity occurs in that time period a notification will be sent out detailing the number of uploads and/or downloads done on that ShareLink.
 

USER NOTIFICATIONS

Notifications will be sent to users who have their notifications enabled when they receive an internal exchange (organization to user digital vault) and when ShareLink actions are performed by a recipient(s).  Users will receive an email to the confirmed address set in their profile and, if applicable, a sms message will be sent to the system verified phone number.

  • A file is being exchanged to them
  • A file is being exchanged to their account group
  • A folder is being exchanged to their account group
